Booking & Cancellation

50% retainer to book. 24-hour cancellation notice required. No-shows forfeit all payments. Standard turnaround 2 weeks — rush available.

Retainer
A 50% retainer is required to book your desired date and time slot. No booking is confirmed until the retainer payment has been submitted and you have received a confirmation receipt. The remaining 50% is due in full no later than the day of the session before it begins.

Studio & Third-Party Costs
All studio rental fees or other third-party costs incurred for your session must be covered by the client. These costs are non-refundable in the event of cancellation.

Cancellations & Rescheduling
Clients must cancel or reschedule at least 24 hours before the scheduled session. Cancellations with less than 24 hours' notice will result in forfeiture of the retainer and require a new retainer for rebooking. Last-minute cancellations within 6 hours of the session also require reimbursement of any studio rental or associated booking costs. In cases of unforeseen circumstances such as inclement weather or natural disasters, one (1) reschedule is permitted.

TFP / Collaboration Shoots
Any cancellation within 24 hours of a TFP or collaboration shoot will result in the photographer requiring full payment of any incurred expenses (such as studio rental) before consideration for future projects.

Late Clients
Sessions start at the scheduled time, not when you arrive. If you are late, the remaining time will be used for your session. Sessions will not be extended for late arrivals.

No-Show Clients
No-show clients forfeit all retainers and payments made and must pay the full package balance at booking for any future sessions. No exceptions.

Refund Policy
All retainers and payments are non-refundable.

Corporate Clients
Corporate clients are not required to pay a deposit; however, a signed contract or purchase order (PO) is required to confirm the booking. Full payment is due upon completion of the session unless otherwise agreed in writing. Invoices must be paid within 15 days. Cancellations made within 48 hours are subject to a 50% cancellation fee. Same-day cancellations or no-shows are billed at 100% of the session fee.

Turnaround Time
Standard turnaround for retouched photos is approximately 2 weeks after the client submits their selections. Rush editing (1-week delivery) is available for an additional fee. This policy was last updated February 2025.

All rights remain with Nelson Richardson / VSoul Photos. Personal use granted to all clients. Commercial licensing by written agreement.
